Job Description

We are immediately looking for a Front Office Executive for a leading apparel company in Colombo.

What you need to do:

• Warmly welcoming clients and visitors with a genuine enthusiasm for our brand.

• Manage all incoming calls, emails, and correspondence, ensuring prompt and efficient communication.

• Manage room reservations for all meeting rooms, and on request make arrangements for seating, food and beverages.

• Maintain an impeccably organized front office area, reflecting the professionalism and creativity of our company.

• Ensure the Visitor Management System (VMS) is updated with all visitor details and passes (Green/Red) are handed over to visitors accordingly.

• Schedule appointments and meetings, efficiently coordinating calendars and providing timely reminders.

• Assist with administrative tasks, including data entry, document management, and inventory control.

• Handle the reception of visitors and effectively coordinate with respective departments to ensure a pleasant experience for all parties.

• Ensure all facilities are in working order in the meeting rooms and HIVE location.

• Support in the organization of HR and other team events.

What you need to have:

• 1-2+ years’ experience in a receptionist role.

• Decision making and Problem-Solving skills.

• Effective communication with a variety of stakeholders.

• Can manage time effectively.

• Strong command of Written and Spoken English.

• Effective Time Management and Organization skills
