- Handle guest enquiries and reservations promptly and professionally, delivering a world-class level of service.
- Act as a key point of contact for guests, providing recommendations and resolving any issues or concerns.
- Maintain and update reservation systems, ensuring accuracy and consistency of data.
- Assist in developing an environment at work that is supportive of cooperation, teamwork, and ongoing progress.
- Collaborate with the sales and marketing team to develop strategies for increasing bookings and revenue.
- Reservation Management: Handle guest inquiries, process reservations, and manage bookings through the reservation system. Ensure accurate and timely entry of reservation details, including guest information, room preferences, and special requests.
- Customer Service: Provide exceptional customer service by promptly responding to guest inquiries, requests, and concerns related to reservations and assist in resolving any issues or complaints regarding reservations, ensuring guest satisfaction and retention.
- Sales Generation: actively assist in selling accommodation options, packages, and services to potential guests through, travel agents, OTA, social media or direct. To secure reservations and exceed or meet sales targets and goals.
- Reservation Process: Handle all aspects of the reservation process, including receiving and processing reservation inquiries, inquiry follow-up, managing room availability and allocations, confirming bookings, monitoring and following up on payments and handling cancellations or amendments.
- Reporting and Analysis: Generate reports on reservation statistics, occupancy rates, and revenue forecasts. Analyse data to identify trends, opportunities for improvement, and strategies to maximize revenue.
- Cross-department Collaboration: Collaborate with other departments such as front office, sales, and finance to ensure smooth coordination of guest arrivals, departures, and room assignments. Communicate special requests or guest preferences effectively to relevant departments.
- Quality Assurance & booking checks: Ensure the accuracy and completeness of reservation information, including guest profiles, payment details, and special requests. Implement quality control measures and appropriate booking checks to maintain data integrity.
- Bachelor’s degree in hospitality management, business administration, or a related field (preferred).
- Previous experience in a similar role within the hospitality industry, demonstrating a strong understanding of reservations operations.
- Excellent communication skills, both verbal and written, with the ability to interact professionally with guests and colleagues.
- Exceptional organisational and multitasking abilities to manage a high volume of reservations and inquiries.
- Proficiency in reservation software and systems, with the ability to quickly learn new platforms.
- A proactive mindset, with the ability to anticipate guest needs and provide proactive solutions.
- Attention to detail and accuracy, ensuring all guest information is recorded correctly.
- Flexibility to work in a fast-paced and dynamic environment, including evenings, weekends, and holidays as required.
- This position is located at our Head office in Colombo, Sri Lanka.
